Step 1: Credentials & Client Account Setup

We’ll obtain the credentials from the customer who purchased the maintenance subscription. The credentials will be stored in the project management interface, which manages the tasks.

Project -> Files -> Credentials

Each website will have a staging website version hosted on our server. So, in the project credentials document, there will always be two website credentials:

  1. Production
  2. Staging

Step 2: Work Initialization & Overview

The maintenance work will start the day after the purchase date.

We will comprehensively observe the website to understand its front-end and back-end functionality. We will meticulously document all observations as an overview, enabling us to reference this information at any time to grasp its purpose and essential details.

The information will also be stored in the project interface.

Project -> Files -> Overview

This overview will contain the following:

  • Post Types List, including the default page and post.
  • Individual page features. For example, if a page contains an advanced filter, it will be noted that it has a filter. A simple page with only paragraph content will be listed under the regular pages.
  • Archives.
  • Taxonomy Types.
  • Post types’s single view.
  • Product single view.
  • Shop
  • My Account
  • Cart
  • Checkout
  • Membership pages
  • Page Templates
  • 404
  • General Search Results
  • Product Search Results

    • Forms
    • Filters
    • Search Field
    • Mobile Menu
    • Popup
    • Embed Features
    • Javascript Features.
    • Iframe, etc.

Step 3: Content Classification

We’ll separate the work scopes into different classes based on the checking. The classes are:

  1. Daily
  2. Weekly
  3. Bi-weekly
  4. Monthly

Step 4: Essential Extensions Addition & Configuration

After thoroughly checking, we’ll add necessary/essential extensions based on our observations. The following plugins will be considered, but the list will vary from website to website.

  1. WP Rocket Pro
  2. Updraft Plus Pro + Cloud Storage
  3. WP Activity Log
  4. Solid Security or Wordfence Pro
  5. Divi/Elementor Pro (based on the customer’s request).

Those steps will be completed once after the subscription, which can take up to two weeks. However, the website will still be maintained during this time.

Daily Activities

/7 Uptime

The website will be monitored 24 hours to ensure it is always live and functional.

Daily Backup

We’ll keep a daily backup of the website in the cloud storage. It will be based on the subscription package chosen.

The latest 15-day backup will be stored in the cloud. Others will be deleted.

Activity Log Tracking

The activity logs will be checked daily to ensure no unusual/suspicious occurrences with any activities.

Weekly Activities

Website Updates

The themes and plugins will be observed once per week to ensure no updates remain left. But this would be performed on the staging website first, and if everything goes well, this would be performed on the production website. After the update on the staging website, the associated features will be inspected to confirm they are not affected by the updates.

If updating a plugin/theme causes any errors, we’ll try to fix them if those are minor. However, the following approach would be used for large or considerable development issues because it is out of the maintenance support scope.

We’ll report to you with a complete clarification about the following:

Error source – what causes this error.

Tracking Errors

We’ll check the log daily to ensure there are no errors. Themes, plugins, custom codes, and other software can generate errors. The log file will be enabled, but the logs will not be visible on the website.

If we find any errors that are minor, we’ll resolve them. But if there are large issues, we’ll inform you to take the necessary steps because the error could lead to development work. Though the development work is out of the maintenance service scope, we’ll report to you with a complete clarification about the following:

Error source – what causes this error.

Don’t worry about the errors because we also have Custom Development services. If you agree, we’ll have it covered with alternative solutions implemented on the website through custom development services.

Email Delivery

Every week, the form email will be checked to ensure the mails are sent to the mail address correctly and it is stored in the primary inbox. If there is a trouble, we’ll configure SMTP as needed.

Spam Checking/Removal

Spam elements will be checked for removal. There will be extra security to reduce the spamming. However, double-checking would be better to keep the website fresh and secure and spam-free.

Cart & Checkout Process

The cart and checkout will be checked to ensure they work as expected without any hassles and issues. From adding a product to the cart and then getting an email for the order – everything will be checked for smooth actions.

Split Testing

For any severe issues, the customer will be informed the customer to take necessary steps since the development support is out of the maintenance support scope.

Besides that, all themes and core files will be checked to ensure no junk files are there.
